If there is one thing we know from years of working with business owners and families in Austin, it is that cash flow matters. When the IRS owes you money, waiting on a paper check to arrive in the mail is an inefficiency most cannot afford.

The IRS has largely moved away from paper checks to improve security and speed. Direct deposit is safer, faster, and eliminates the risk of mail theft—a real concern we have seen increase recently. Whether you are a contractor waiting on capital to reinvest or a family planning for the year ahead, knowing where your money stands is essential.

Using the IRS Online Tools

If we have already filed your federal return and you are expecting money back, you do not need to sit in the dark. The most reliable way to check your status is the official IRS tool.

Where’s My Refund? is available 24/7 on the IRS website. This system updates once a day—usually overnight—so there is no advantage to checking it multiple times within a 24-hour window.

General Timelines:

  • E-file with Direct Deposit: The gold standard. Nine out of 10 taxpayers receive refunds in fewer than 21 days.

  • Paper Returns: Expect a delay. Status information usually appears four weeks after mailing, but processing takes longer.

What You Need to Check Status

Before you log in, pull up the copy of the tax return we provided you. Guessing numbers will lock you out of the system. You will need to enter exactly:

  • Your Social Security Number (or ITIN),

  • The tax year (2025, 2024, or 2023),

  • Your filing status (e.g., Married Filing Jointly, Single, Head of Household), and

  • The exact whole dollar amount of the refund shown on your return.

Decoding the Status Messages

Once you are in, the tool will display one of three stages:

  • Return Received: They have it, and it is in the processing queue.

  • Refund Approved: The numbers checked out, and they are preparing the transfer.

  • Refund Sent: The money is on its way to your bank (allow 5 days to clear) or the check is in the mail (allow several weeks).

If your refund is delayed beyond standard processing times—specifically if you have not received it within 28 days of the mailing date listed in the tool—the system will provide links to start a refund trace.

Mobile Options and Accessibility

For clients constantly on the move or at a job site, IRS2Go is the mobile app version of the tool. It is free, secure, and available for both Android and Apple devices.

Additionally, Where’s My Refund? is accessible for visually impaired taxpayers, compatible with JAWS screen readers and Braille displays.

When to Call Us

As a former IRS employee, I can tell you that calling the IRS directly is rarely the fastest route unless the Where’s My Refund? tool specifically instructs you to contact them. The online data is the same data the phone representatives see.

However, if you receive a notice, or if the tool indicates an error regarding your return details, that is when you should loop us in immediately. We are here to help navigate any hurdles and keep your financial life moving forward.
